Working Title: Academic Services Coordinator

Degree and area of specialization: Bachelor's degree required. Master's degree preferred.
        
Minimum number of years and type of relevant work experience:
3 years experience in higher education administration, preferably in a graduate school or graduate student environment. Demonstrated ability to work with graduate students, faculty, and department administrators. Strong verbal and written skills required. High level of computer competence, facility with databases, and ability to develop queries and reports required. Familiarity with campus Integrated Student Information System (ISIS) and Image Now document imaging and routing systems is a plus.

Principal duties:
This position reports directly to the Assistant Dean for Admissions and Academic Services. Position works directly with faculty, staff, and graduate students regarding Graduate School enrollment management policies and procedures and has authority to make exceptions to Graduate School policies and deadlines.

60% - Monitor and implement compliance with satisfactory progress, enrollment, registration, and withdrawal requirements. Advise faculty, staff and students on appropriate academic services policies and procedures, and explain the rationale for those policies and procedures. Make exceptions to Graduate Faculty policies and procedures for individual students when appropriate. Make recommendations to the deans regarding changes to policy to be brought to the Graduate Faculty Executive Committee (GFEC).
  • Summarize academic review issues for the Graduate School deans and recommend and carry out actions such as probation, registration restrictions, and drops.
  • Initiate regular satisfactory progress review; follow-up with faculty and deans to recommend action regarding requests for exceptions.
  • Advise faculty, staff, and students of academic standing and recommend appropriate action.
  • Review and authorize exceptions for late enrollment.
  • Consult with students, programs, and other campus offices regarding student withdrawals. 
  • Advise students, faculty, and staff on late registration processes and implications.
  • Collaborate with the Graduate School's master's and doctoral degree coordinators to ensure that enrollment management practices are consistent with degree granting procedures.
  • Work with the Graduate School's doctoral degree coordinator to ensure consistent PhD dissertation review policies and procedures; provide backup coverage for final dissertator checks and proactive pre-check appointments.
  • Collaborate with Director of Communications to update the Graduate School's Academic Guidelines.
  • Collaborate with the unit of Academic Assessment and Funding to update the Graduate School's Catalog.

30% - Develop and implement graduate student related data reviews, tools and processes.
  • Create and use queries to pull data on graduate student admissions, enrolled students, and degrees from ISIS, the UW Data Warehouse, other Graduate School report resources, and other databases as appropriate in cooperation with other Graduate School Offices.
  • Work with Assistant Dean for Admissions and Academic Services and Assistant Dean for Academic Assessment and Funding in development of reports on student data.
  • Lead and coordinate the creation and maintenance of graduate queries in the Query Library. Promote the use of Query Library and coordinate relevant workshops/trainings.
  • Help identify and raise data access and integrity issues as it relates to graduate data. Serve as a Graduate School representative on relevant campus data groups/initiatives including but not limited to the Data Integrity Group (DIG).
10% - Support mission critical processes of the Graduate School.
  • Serve on Graduate School committees to develop and/or recommend new or revised operating procedures and policies within the Graduate School.
  • Attend and report at GFEC and Graduate School deans meetings when appropriate.
  • Represent the Graduate School in campus-wide initiatives as needed.
  • Support diversity initiatives in the Graduate School including recruitment activities.
  • Perform other duties as assigned.
