Job Summary Statement: In collaboration with the Graduate Vice-Chair, manage all aspects of graduate operations and recruitment and serve as graduate advisor for the Department of Mathematics. Develop policies pertaining to graduate student affairs, monitor student compliance with those policies, and advise Vice-Chair and faculty on policies and procedures. Provide current and historical analysis and reports for Department and University reviews and outside agencies. Manage two million dollar budget and design spreadsheets to project and track teaching, research and fellowship funds. Balance TA budget. Monitor F1 and J1 students for visa compliance. Write and edit copy for UCLA catalog and to post on department website. Answer written and verbal inquiries concerning the department's programs, courses and policies. Develop, implement and maintain databases for applicants and current students. Conduct new student orientation. Counsel all new graduate students concerning coursework, qualifying examinations, academic progress, teaching and research assistantship support, departmental services, housing etc. Administer the Visting Graduate Researcher program. Assist Student Services Manager with TA assignments. Supervise graduate student assistant. Demonstrated knowledge of university policies and procedures related to graduate recruitment, admissions, student affairs and academic apprentice personnel. Excellent interpersonal skills to deal effectively with diverse constituencies. Skill in utilizing spreadsheets to develop budgets, project expenses and provide reports. Skill in utilizing access databases and on-line university systems including SIS, SRS, and FAM. Experience with F1 and J1 visas. Demonstrated skill in employing fundamental counseling techniques with sensitivity sufficient to assist students in the resolution of problems. Working knowledge of financial assistance programs for graduate students. Demonstrated written communication skills to prepare concise, logical, grammatically correct reports, correspondence, and policies and procedures. Skill in conducting presentations. Excellent organizational skills to prioritize assignments under conflicting demands. Skill in working independently and as part of a team. Experience hiring, supervising and reviewing staff preferred.
