Cal Poly Pomona, Foundation Housing Service University Village-Graduate Student Assistant Position

UNIVERSITY/COMMUNITY INFORMATION

California Polytechnic State University, Pomona (Cal Poly Pomona) is located in Pomona, California. The Graduate Student Assistant (GA) will work with the Foundation Housing Service (FHS) in the University Village, a 1200 bed apartment-style residential community that houses students year round. FHS is a part of the Cal Poly Pomona Foundation, Inc. a non-profit auxiliary to Cal Poly Pomona.

The Graduate Student Assistant will report to the Interim Director of Housing/Senior Associate Director (or designee) who is responsible for the Residential Education and Community Standards areas of the University Village. This area includes training and supervision of the Managerial Assistant (MA) and Student Leader staff, quarterly Health & Safety Inspections, quarterly Town Hall meetings, programming, community building, and assistance with overall administration and facility management of the University Village. The GA’s responsibilities will be to serve in various capacities throughout the University Village in order to obtain a well-rounded experience. This will include collaborating with different University Village departments: Residential Education, Community Standards, Housing Operations, Facilities, and Information Technology.

Compensation: The GA will be paid $12/hour, with a range of 25-30 hours worked per week. Additional hours may be approved during necessary time periods such as during training or check-in/check-out days, etc. This position allows for a second assistantship elsewhere, if so desired. This is not a live-on position. A parking pass and gate card are provided.

This position has an early August start date; exact dates are negotiable.

GOALS OF THE INTERNSHIP

Ø  To gain experience in the administration of Residential Education
Ø  To gain a clear understanding of the various components that comprise Foundation Housing in an auxiliary apartment housing program
Ø  To understand how each of the departments work autonomously and collaboratively for the common good of the organization
Ø  To create, implement, and complete departmental projects
Ø  To complete projects that are congruent with the GA’s educational goals
Ø  To learn more about Cal Poly Pomona and the relationship between the Foundation and the University

RESPONSIBILITIES OF THE GRADUATE ASSISTANTSHIP

During this assistantship, the GA will be working with each of the departments within Foundation Housing. The GA will be splitting their time between projects and the demands of each department. Some of the projects may include, but are not limited to the following:

RESIDENTIAL EDUCATION:
     Meet weekly with your supervisor to review your assistantship experience and update your progress throughout the year
     Attend weekly Residential Update Meetings, Student Leader Staff Meetings (Tuesday evenings), and biweekly Village Professional Staff Meetings
     Facilitate staff professional development activities during staff meetings
     Determine your own project(s) based on areas of interest/growth

Community Standards & Conduct:

     Revise and update the University Village Community Standards as needed
     Explore and critique our conduct review process to make sure that we are meeting our students’ needs in an apartment style community
     Conduct research in the area of student conduct’: Restorative Justice, creative sanctioning, student peer review boards

Supervision and Student Development:

     Supervise the student MA staff, with your supervisor
     Facilitate weekly MA staff meetings, with your supervisot
     Meet biweekly with the MA staff one-on-one to foster professional and personal development
     Coordinate, schedule, and conduct quarterly Health & Safety Inspections of all resident apartments
     Work on applying student development theory to student staff and residents that will encompass the community we are serving

Assessment:

     Assist with the promotion, completion, and collection of the Residential Experience Survey (RES), administered by Skyfactor (formerly EBI (Educational Benchmarking,Inc.).


     Conduct quantitative and qualitative analyses of the RES survey results
     Develop assessment tools to be utilized throughout the 2015-16 academic year

Programming:

     Collaborate with the Community Development Specialist to host quarterly University Village Town Hall meetings for residents to interact and question staff
     Plan and coordinate the end of the year Staff Appreciation dinner and gifts/opportunity drawing prizes

HOUSING OPERATIONS:

     Support the front office with administrative tasks and customer service as needed
     Support the check-out, check-in, and transfer processes of academic and summer students as needed
     Evaluate our check-in and check-out procedures for effectiveness and efficiency
     Meet with and interview Foundation and University colleagues to learn more about these functions at Cal Poly Pomona. Campus departments can include the Office of Student Life, Associated Students Inc., Counseling and Psychological Services, Judicial Affairs, the Cultural Centers, and more.

INFORMATION TECHNOLOGY:

     Coordinate with IT staff to schedule the use of, and training with, iPads for quarterly Health & Safety Inspections, Room Inventories (check-in and check-out inspections), and RES survey collection

     Learn about IT functions, services, and capital projects
