THE DEPARTMENT
The Registrar’s Office conducts registration activities, oversees articulation agreements with other colleges and universities, processes grades, maintains student records, verifies student enrollment data, monitors academic standing, evaluates transfer credit, certifies enrollment, provides preliminary graduation evaluations, verifies degree requirement completion and issues diplomas.DUTIES AND RESPONSIBILITIES
The Transfer and Graduation Advisor processes graduation checks; reviews coursework completed by students to determine students’ completion of degree requirements; and prepares evaluation of transfer credit based upon national guidelines and articulation of transfer courses. The incumbent notifies students of deficiencies in completion of degree requirements and facilitates the resolution of these deficiencies; advocates for students to university administrators, faculty, and staff with the goal of facilitating their graduation; and provides guidance to students in their path to completing their degree requirements. The incumbent advises new, returning former Cal Poly Pomona (CPP) and enrolled students regarding degree requirements and CPP policies and procedures; provides support and assistance to students facing a wide variety of academic problems; serves as the primary resource to the university community regarding degree requirements and academic policies and procedures; and collaborates with faculty and staff advisors to facilitate communication about curriculum changes and to assure consistent delivery of information regarding major, minor, and general education requirements. The incumbent provides training for the academic advisors; represents the Registrar’s Office at select new student orientation sessions; provides workshops to new and returning students; provides support to the Degree Audit Team by communicating program changes; assists in testing of newly developed reports in the Academic Advisement module of PeopleSoft; assists in the development of training for academic departments or students use; provides input to the Articulation Officer on matters concerning transfer credit equivalencies and provides assistance to the recording of approved petitions in the Student Exceptions page in the PeopleSoft Academic Advisement module. The incumbent advises students who are in academic difficulty or require remediation in math under Executive Order 665; provides support to students with alternative choices and those participating in special programs; coordinates with the Office of Admissions and Outreach, serves as a consultant to the Academic Renewal Committee, provides direction and coordination over special populations and projects to support the direction and mission of the department; and performs other duties as assigned.QUALIFICATIONS
Bachelor’s degree or equivalent in one of the behavioral sciences, public or business administration or a job-related field AND two years of professional experience in one of the student services program areas or in a related field. (A Master’s degree in a job-related field may be substituted for one year of the professional experience). General knowledge of the methods and problems of organizational management, research and interview techniques; ability to interpret and apply program rules/regulations, use initiative in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; ability to plan, develop, coordinate, supervise and organize programs and activities; ability to interact with a diverse student population, faculty, staff and the public; ability to analyze complex situations accurately and adopt effective courses of action; ability to advise students individually and in groups on complex student-related matters; ability to complete assignments without detailed instructions; and ability to establish and maintain cooperative working relationships with a variety of individuals. Excellent verbal and written communication skills as well as the ability to acquire knowledge of the campus procedures and activities and the overall organization is required.Finalists for this position may be required to submit to and successfully pass a background check prior to being hired.
PREFERRED QUALIFICATIONS
